[:de]PDF/A ist ein ISO-Standard für die Archivierung von Dokumenten, der eine lange Lesbarkeit garantieren soll. Wie elektronische Dokumente ins PDF/A-1b Format konvertiert werden können, um dem ISO-Standard zu entsprechen, zeigen wir in diesem Blogbeitrag.

 Was ist ein PDF/A Format?

PDF/A (/A steht für Archiv) ist ein ISO-Standard für die dauerhafte Archivierung von formatierten Dokumenten und sollte länger lesbar sein als die üblicheren PDF-Formate. Der Subtyp PDF/A-1b (b für basic) wird dabei am häufigsten verwendet. Die langfristige Lesbarkeit des PDF/A-1b Formates wird einerseits durch den Verzicht auf bestimmte Funktionen und andererseits durch die Einbettung aller benötigten Objekte (z.B. Zeichensätze) in das File erreicht. Man erkennt ein PDF/A-File am blauen Balken im Adobe Reader.

Beim Versuch, ein Microsoft Word oder Microsoft PowerPoint Dokument nach PDF oder PDF/A zu konvertieren, geht häufig ein Teil der Links verloren, oder Formeln und Grafiken werden falsch dargestellt. Was kann man dagegen tun?

Wir haben vier verschiedene Konvertierungsmethoden anhand von 10 Beispielfiles getestet, um die Eigenschaften der verschiedenen Methoden zu ermitteln. In der folgenden Anleitung erklären wir deren Vor- und Nachteile.

  1. File als PDF “drucken”
    Ein File kann in Word oder PowerPoint zu einem PDF-Drucker geschickt werden. Dies ist bei aufwendigen Dokumenten häufig die beste Methode. Sie hat allerdings den Nachteil, dass unterlegte Links verloren gehen können.Wählen Sie in Microsoft Word oder Microsoft PowerPoint unter dem Menüpunkt “Datei” die Schaltfläche “Drucken”. Dort steht die Option “Adobe PDF” bei “Drucker” zur Auswahl. (Falls das Feld “Adobe PDF“ fehlt, ist auf ihrem Computer vermutlich nur Adobe Reader installiert. In diesem Fall sollten Sie sich Adobe Acrobat Pro installieren lassen oder eine der anderen drei Methoden wählen.) Wählen Sie das Feld “Druckereigenschaften” an. Öffnen Sie im Tab “Adobe PDF Einstelllungen” das Dropdown „Standardeinstellungen“ und klicken Sie auf den Menüpunkt “PDF/A-1b: 2005 (RGB)” (Abbildung 1). Klicken Sie anschliessend auf „Drucken“, um die PDF-Datei zu erzeugen.

  2. File mit Adobe Acrobat Professional erstellen
    Diese Methode benötigt einige Rechenzeit für grosse Dokumente. Die Konvertierung erfolgt durch folgendes Vorgehen: Öffnen Sie die Word- oder PowerPoint-Datei mit Adobe Acrobat Professional. Anschliessend wählen Sie im Menü „Datei“ den Menüpunkt „Speichern als…“ und wählen „PDF/A“. Im nächsten Fenster bestimmen Sie Dateinamen und Speicherort sowie die Schaltfläche „Einstellungen…“. In einem weiteren Fenster wählen Sie die Option „PDF/A-1b“ und “sRGB.“ (Abbildung 2).

  3. Ein File mit Acrobat PDFMaker als PDF/A-1b speichern
    Diese Methode benötigt einige Rechenzeit für grosse Dokumente und kann sogar gänzlich fehlschlagen.
    Starten Sie das Word- oder PowerPoint-File und wählen Sie das Menü „Acrobat“ aus, dann bei den Grundeinstellungen die Option „PDF/A-1b“ auswählen (einmalig für jede Installation, Abbildung 3). Anschliessend können Sie das PDF-Dokument entweder im Menü „Acrobat“ mit dem Menüpunkt „PDF erstellen“ oder im Menü „Datei“ mit dem Menüpunkt „Als Adobe PDF speichern…“ erzeugen.

  4. Ein File in Word oder PowerPoint mit „Speichen als“ erzeugen
    Diese Methode hat den Nachteil, dass Vektorgrafen häufig unbrauchbar werden und Links in Fussnoten verloren gehen.
    Wählen Sie unter dem Menü „Datei“ die Option „Speichern als“ (nicht „speichern als Adobe pdf“) und dann Format PDF aus. Unter „Optionen…“ selektieren Sie „ISO19005-1-kompatibles PDF/A“ (Abbildung 4).

 Fazit: Keine Methode ist perfekt

Wie ersichtlich wurde, hat jede Methode Vor- und Nachteile. In jedem Fall sollte man das erzeugte PDF/A-File genau überprüfen. Achten Sie dabei besonders auf Links, Vektorgrafen, Formeln und spezielle Schriften. What’s a PDF/A format?

PDF/A (/A stands for archive) is an ISO standard for the permanent archiving of formatted documents and should be readable for longer than more conventional PDF formats. The subtype PDF/A-1b (b stands for basic) is used the most frequently. The long-term readability of the PDF/A1b format is achieved by dispensing with certain functions on the one hand and embedding all the objects required (e.g. fonts) in the file on the other. A PDF/A file is recognisable by the blue bar in Adobe Reader.

0_HowToCreatePDFA

While attempting to convert a Microsoft Word or Microsoft PowerPoint document into a PDF or PDF/A, links are frequently lost or formulae and graphics displayed incorrectly. What can be done to prevent this?

We tested four different conversion methods based on ten example files to investigate their features. We explain their pros and cons in the following instructions.

  1. “Printing” a file as PDF
    A file can be sent to a PDF printer in Word or PowerPoint, which is often the best method for elaborate documents. The drawback, however, is that highlighted links are lost.
    Select the “Print” button in the “File” menu in Microsoft Word or Microsoft PowerPoint, where you can choose the option “Adobe PDF” in “Printer”. (If the “Adobe PDF” field is absent, most likely only Adobe Reader is installed on your computer. In this case, you should install Adobe Acrobat Pro or opt for one of the other methods.) Select the field “Printer properties”. Open the “Standard settings” dropdown in the “Adobe PDF settings” tab and click on the menu item “PDF/A-1b: 2005 (RGB)” (Figure 1). Then click on “Print” to create the PDF file.

  2. Creating a file using Adobe Acrobat Professional
    This method takes time to convert large documents. The conversion procedure: open the Word or PowerPoint file with Adobe Acrobat Professional, select the menu item “Save as…” in the “File” menu and choose “PDF/A”. In the next window, you determine the file name, the storage place and the button “Settings…” In another window, select the option “PDF/A-1b” and “sRGB” (Figure 2).

  3. Saving a file as PDF/A-1b using Acrobat PDFMaker
    This method takes time to convert large documents and can even fail completely.
    Open the Word or PowerPoint file, select the “Acrobat” menu and choose the option PDF/A-1b in the basic settings (once for each installation, Figure 3). You can then create the PDF document either in the “Acrobat” menu with the “Create PDF” menu item or in the “File” menu with the “Save as Adobe PDF…” menu item.

  4. Creating a file in Word or PowerPoint using “Save as”
    The drawback of this method is that vector graphs are frequently unusable and links in footnotes are lost.
    Select the option “Save as” (not “Save as Adobe pdf) under the “File” menu and then PDF format. Select “ISO19005-1-compatible PDF/A” under “Options…” (Figure 4).

Conclusions: no method is perfect

As we can see, every method has its pros and cons. In each case, you should check the PDF/A file created closely. Pay particular attention to links, vector graphs, formulae and special fonts.
